Procedure and Policies for Maintaining and Utilizing Physical, Academic and Support Facilities

Arya Mahila P.G. College has established systems and procedures for maintaining and utilizing physical, academic and support facilities - laboratory, library, sports complex, computers, and classrooms.

The college adheres to norms of UGC, NCTE, BHU in maintaining and utilizing Physical, Academic and Support Facilities.

Policy details are based on committee recommendations, planning, budgeting, staff roles, and maintenance protocols.

Policies:

The College ensures optimal utilization of facilities to maintain and impart quality education to students.

Academics:

The Principal and senior faculty monitor course conduction, practicals, and student feedback periodically.

Purchase:

All purchases are approved by the Manager, Principal, and Purchase Committee. Quotations are invited for purchases above ₹50,000.

Approved Vendors:

Orders are placed through a pre-approved list of vendors.

Sports Complex:

Sports activities are managed by the appointed Sports Teacher.

Gymnasium & Yoga:

Trainers conduct regular sessions. Yoga classes are handled by qualified instructors.

Equipment Maintenance:

Computers, CCTV, lifts, water purifiers, generators, etc., are maintained under AMC by vendors.

Infrastructure Maintenance:

Supervised by the Administrative Officer, daily cleaning, repair and safety measures are ensured by technical and non-technical staff.

Laboratories:

Lab assistants and attendants manage labs. Equipment is maintained under AMC and reviewed periodically.

Stock Verification:

Annual verification is carried out by a designated team and stock registers are updated.

Store In-Charge:

Maintains records of all stationery and equipment purchases.

Library:

Librarian and staff manage book transactions, OPAC, and e-resources. Library committee handles purchases and verification. Pest control and binding are done regularly.

Server maintenance, networking, software upgrades are handled by AMC vendors under supervision of the Administrative Officer.

Gardening:

Dedicated gardeners maintain greenery within the campus.
